Bookings, cards and reconciliation for chain hotels

See a chain hotel's rooming list with guest details, its payment card and its reconciliation for each contracted event, as the hotel does.

For national sales officesUpdated

Find a hotel's events

Open Rooming Lists. The page shows each of your chain's hotels that has a contracted event, with a card for each event and three buttons: Rooming List, Payment Card and Reconciliation.

Rooming list

The rooming list shows the hotel's reservations for the event with full guest contact details, the same view the hotel's admins get. It also shows how many of the hotel's contracted rooms are booked, so you can see how that property is picking up. For the front desk side, such as hotel confirmation numbers, send the property Your rooming list.

Payment card

The Payment Card page shows the hotel's card for the event, and you can reveal the full card details, as a hotel admin can. Charging the card stays with the hotel. Accounting teams with questions can read Charge the event's virtual card.

Reconciliation

Once the event has ended, each reservation is marked Checked In, No Show, Early Departure or Extended Stay, and changes save automatically. The hotel's team knows who checked in, so it normally marks them, and your office can mark reservations for a chain hotel too. The steps are in Reconcile your event and settle up.

What stays with the hotel

Signing contracts, checking guests in and charging the card stay with the hotel's own team. Your view lets you answer a property's questions and see where each event stands.

Common questions

Can I see guest contact details?

Yes. For your chain's hotels the rooming list shows full guest contact details, the same as the hotel's admins see.

Which events show up?

Events where the hotel has a fully signed contract. A hotel with no signed contract yet does not appear on the page.

Who charges the payment card?

The hotel. You can open a chain hotel's Payment Card page and reveal the card details, but charging the card is the hotel's job.

Who reconciles the event?

The hotel's own team, since it knows who checked in. Your office can mark reservations for a chain hotel too, on the same Reconciliation page, once the event has ended.
