Tournaments need rooms. Your hotels have them.

But hotels are tired of building yet another profile.

Meet TEAM Solutions for national sales offices.

When a tournament needs rooms, your office gets the city and dates.

Pick the properties closest to the venue, and see where each hotel stands on the RFP.

Your own system? Export the RFP in one click.

Then we send the invitations, and pre-build profiles for hotels new to TEAM Solutions.

Your hotels just check the details, fix anything off, and respond.

From there, the rest runs online: proposals, e-signed contracts, a first-night virtual card, and pickup reports.

Trusted by US Squash. Hosted by hotels from Hilton, Marriott, IHG and Hyatt brands.

We bring the groups. You bring the rooms. Book a demo.

How it works

From a new tournament to a signed contract

  1. Step 1: Get the tournament email

Once we set up your office, the email arrives when a tournament starts sourcing hotel rooms. It has a Select Your Hotels button.

  2. Step 2: Pick hotels near the venue

Your office sees your own chain’s hotels and their distance from the venue. For those already on TEAM Solutions, it also sees where each stands on the RFP.

  3. Step 3: Your hotels check and respond

A hotel new to TEAM Solutions gets an invitation once its profile is built. It checks the details, fixes anything off, then responds to the RFP or declines it.

Keeping your own process? Export the RFP in one click and log it in your own system. Your hotels still answer the RFP on TEAM Solutions.

Then the rest runs online for your hotels

  • Proposals and counters

Each hotel sets its own rate and terms, and can counter.

  • E-signed contracts

The hotel signs a TEAM Solutions contract with those terms in it.

  • Virtual card for first-night charges

The hotel charges it at check-in, for the amount the rooming list shows. See how your hotels get paid

  • Rooming lists and weekly pickup reports

Both reach the hotel by email. The Monday report shows the days left to cutoff, and the online rooming list shows any rewards number a guest enters at checkout.

Who does what

The signature stays with the hotel

  • Your office

    • Picks which of your hotels should take part.
    • Is copied on each invitation we send to your chain’s hotels.
    • Sees your chain’s hotels, never another chain’s, and no other chain’s office sees yours.
    • Sees the RFPs your hotels haven’t answered by the due date, with the days overdue.

    Never signs.

  • Your hotels

    • Check their own profiles and answer the RFP on TEAM Solutions.
    • Each signs its own contract with TEAM Solutions.
    • Add their own confirmation numbers to the rooming list.
    • Charge the virtual card at check-in, for the amount the rooming list shows.
    • Report each stay after the event: checked in, no-show, early departure or extended stay.
  • TEAM Solutions

    • Sends the invitations and pre-builds profiles for hotels new to TEAM Solutions.
    • Runs booking and payment.
    • Emails each hotel on any morning it has new bookings, and sends a pickup report every Monday.
    • Emails each guest the hotel’s confirmation numbers.

Commission and payment

How your hotels get paid

Each hotel sees the commission in the RFP and can counter it. By default, commission is on the full room rate. If your brand’s policy is commission net of the rebate, the contract can say so.

  1. Night one, prepaid

Guests prepay night one for every room when they book.

  2. One card for the event

Each hotel gets its own virtual card for the event. Its limit updates with every booking, refund and dispute.

  3. Exactly what to charge

The rooming list shows what to charge the card for each room. Guests pay the remaining nights, their taxes and incidentals at the desk, as usual.

  4. Commission comes out of night one

Commission for the whole stay, plus any rebate the hotel funds, comes out of the night-one payment. On a long stay, the two can add up to more than night one’s rate. Then the hotel gets one invoice for the difference, after it reports its stays.

When tournament guests book your hotel through TEAM Solutions, how do you get paid?

It starts with night one. Guests prepay it for every room when they book.

Then your hotel gets one virtual card for the event, usable only at hotels.

It turns on once there's something to charge, and its limit updates with every booking, refund and dispute.

Your rooming list shows exactly what to charge the card for each room.

That's night one, less commission and any rebate you fund.

Charge it when the guest checks in.

Remaining nights, their taxes and incidentals are paid at your desk, as usual.

A late cancellation or a no-show keeps night one on the card.

If a guest disputes the night-one payment with their bank, it's against our charge, not your merchant account.

While it's open, every room on that payment comes off the card, marked Disputed. If the dispute is won, they return to the card.

Commission and any rebate you fund apply to every night of the stay.

On a long stay, they can add up to more than night one.

Then the card covers zero dollars for that room.

The difference is one invoice after you report the stays, due in 30 days.

We bring the groups. You bring the rooms.

Cancellations, no-shows and disputes

  • By default, a guest who cancels 72 hours or more before check-in gets a full refund. Each hotel’s contract can set a different window.

  • Late cancellations and no-shows keep night one on the card.

  • A guest’s bank dispute of the night-one payment is against our charge, not the hotel’s merchant account.

Security and data

  • Guests pay on Stripe’s hosted checkout.

  • We never store guest card numbers.

  • No hotel sees another hotel’s rooming lists.

  • Roles limit who can see a hotel’s full virtual card number.

Go deeper

Answers on video, each under two minutes

  • Pick hotels near the venue, add a name and email for any hotel we have no contact for, and submit. Then your office sees which RFPs your hotels haven’t answered.

  • Where each of your hotels on TEAM Solutions stands on the RFP, the contract each hotel signs, and the booking and payment we run.

  • A percent of the room rate, written into each hotel’s contract and netted from night one, with one invoice when a long stay needs it.

  • How night one is paid. When to charge the card. How commission works. What happens on a late cancellation, no-show or dispute. Who sees card details.

  • We contract the room blocks. Players and families book from one link per event, and hotels get a pickup report every Monday.

Questions

What offices and hotels ask

Your office

What emails will our office get?

Once we set up your office, it gets one email per tournament, when the tournament’s RFP first goes out. The email has the city, the dates and a link to pick hotels. Your office is also copied on each invitation we send to your chain’s hotels.

What if one of our hotels is new to TEAM Solutions?

We pre-build its profile, so the hotel doesn’t start from a blank one. We send its invitation once the profile is built.

Your hotels

What happens while a guest disputes the night-one payment?

While the dispute is open, all the rooms on that payment come off the card and show as Disputed on the rooming list, so the desk knows not to charge the card for them. If we win the dispute, those rooms return to the card.
