Respond to RFPs for your chain's hotels

As the chain office you can answer, counter or decline an RFP for a chain hotel. The hotel's own team still signs the contract.

For national sales officesUpdated

Step by step

  1. Step 1: Open RFPs

    RFPs

RFPs lists every RFP for your chain's hotels, one row per hotel, with the hotel's name under the event. A hotel whose invite has not gone out yet shows Invite Pending. Use the All, Pending, Submitted and Contracted tabs to narrow it.

  2. Step 2: Open the hotel's RFP

Use the button on the hotel's row to open its RFP. If you open an RFP that several of your hotels received, choose the property you are acting for first.

  3. Step 3: Answer as the hotel

Match the requested rooms to the hotel's room types, set quantities and nightly rates, add terms, then click Submit Proposal. To pass on the event, use Reject RFP and give a reason.

  4. Step 4: Handle counteroffers

Counteroffer emails go to the hotel team, not to your office, so watch RFPs for rows that show Counter Received. Open one to accept, counter or reject, as the hotel would.

  5. Step 5: Follow the contract

    Contracts

Chain Contracts lists your hotels' contracts: Awaiting Hotel Signature first, then Active Contracts once signed. Each hotel's registered signer signs its own contract.

What you can do for a chain hotel

Your office can act for your chain's hotels on TEAM Solutions once a hotel is verified, or while a profile built for a property you put forward waits for its hotelier. For each one you can:

  • answer an RFP, or reject it with a reason
  • accept, counter or reject a counteroffer (for a property whose built profile is not confirmed yet, Accept waits until its hotelier confirms)
  • open and edit the hotel's profile from Hotels
  • follow its contracts on Contracts, with the negotiated terms

What you answer is the hotel's answer: it shows in the hotel's own RFP list, the same as if the hotel had sent it. The hotel guides walk through each field, and you can forward them to a property: Answer an RFP and Counteroffers and revising your proposal.

What stays with the hotel

Signing. Each contract goes to a member of the hotel's own TEAM Solutions account to sign, never to your office. The Contracts page shows which ones are waiting on a hotel's signature, so you can nudge the right property.

Common questions

Can I sign a contract for a hotel?

No. Signing stays with the hotel: the contract goes to a member of the hotel's own TEAM Solutions account. For a property you put forward, that means its hotelier must accept their invitation to the hotel's account first.

Where do I see commission and rebate?

On a hotel's RFP when you open it from RFPs, and on its contracts under Contracts. They are left out of the event page and its export on purpose, so those stay safe to share with properties.

Can I edit a chain hotel's profile?

Yes. Open the hotel from Hotels and click Edit Profile. Keep its room types current: a proposal can only offer the room types the hotel has set up.

Does opening a hotel's RFP mark it as viewed?

No. Only the hotel's own team opening it counts as viewed, so Action Items still shows whether the hotel itself has looked.

Will the hotel see what I submitted?

Yes. You act as the hotel, so your proposal is the hotel's proposal and shows in the hotel's own RFP list.
