Book a room for your event

Open your event's booking link, pick a hotel near your venues, choose rooms and dates, and pay the first night to secure them.

For guests and familiesUpdated

Before you start

  • The booking link from your organizer, team or coach.
  • A card to pay the first night.

Step by step

  1. Step 2: Accept the event notice, if one appears

Some events show a notice you must read before you can choose a hotel or a room. Read it and click Accept to continue.

  2. Step 3: Pick a hotel

If the page shows Your division, choose yours so distances are measured from your venues. Browse the hotels in the list or on the map, sort them by distance, price or name, and click Select Room on the one you want.

  3. Step 4: Choose your rooms

Pick how many rooms of each room type you need, then click Book Now.

  4. Step 5: Enter your dates and guests

Choose your check-in and check-out dates, which apply to every room. Enter your name, email and phone. Booking more than one room? Add the guest staying in each room: name, email, phone, adults and children, and an optional hotel rewards number.

  5. Step 6: Pay on the secure payment page

Tick the box to accept the terms and click Continue to Secure Payment. You pay by card on a payment page hosted by Stripe, where every amount is listed before you pay.

  6. Step 7: Check your confirmation

The confirmation page shows a confirmation number for each room. A confirmation email goes to the email you booked with, and its Manage Booking button opens your reservation.

Your rooms are held while you pay

Rooms are not held while you browse or fill in your details. They are held from the moment you click Continue to Secure Payment, for 30 minutes. Finish paying in that time to keep them. If you do not, they go back on sale for everyone.

If you go back from the payment page instead of paying, nothing is charged and you can try again.

If the booking page will not open

What the page says tells you what to do:

  • Event Not Found: the link is incomplete or out of date. Booking links carry an access code, so the page opens only from the full link. Open the full link exactly as it was sent, or ask your organizer, team or coach to send it again.
  • Coming Soon, or a message that the event is being set up or that booking opens soon: the event is not open for booking yet. Check back later.
  • Booking Closed: the booking deadline has passed. Contact your event organizer.
  • Booking Unavailable or Unable to Load Event: a temporary problem. Click Try Again, or reload the page in a few minutes.

If the page still will not open, contact us:

Common questions

The booking page says booking is closed. What now?

Booking closes at 11:59 PM Eastern on the booking deadline. Each hotel can have its own deadline, so one hotel card can show Booking Closed while others are still open. If the whole event is closed, contact your event organizer.

The page says booking is not open yet. When can I book?

Booking opens once the event goes live, and some events also set a date when booking opens. Until then the page shows the event without a way to book. Check back later, or ask your organizer when booking opens.

Booking links carry an access code, so the page opens only from the full link. Open the link exactly as your organizer, team or coach sent it, without shortening or retyping it. If it still does not open, the link may be out of date, so ask them to send it again.

Why can't I book just one night?

Some hotels require a minimum stay. Their hotel card shows a minimum stay badge, and checkout will not accept a shorter stay at that hotel. Choose more nights, or pick a hotel without a minimum.

My payment did not go through. Was I charged?

No. When a payment does not go through, the booking page tells you that your card was not charged and no room was booked. If you leave the payment page, nothing is charged either. Rooms are held for only 30 minutes while you pay, so start again from the hotel list.

What is the notice I have to accept before booking?

Some events ask every team to stay at the event's hotels, and show a notice you must accept before you can pick a hotel or a room. Your browser remembers that you accepted it for that event. It asks again if the event changes the wording, or on every visit if your browser does not keep site data.

Can I book rooms for other people?

Yes. Choose more than one room, and at checkout enter the guest staying in each room. Each room gets its own confirmation number, and the hotel's confirmation goes to that guest's email. To have each family book and pay for its own room instead, hold rooms for your team.

Do I need an account to book?

No. Booking, looking up, changing and cancelling a reservation all work without an account. You need the booking link to book, and your confirmation number and email to manage your reservation later.
