Get started as an event organizer

What TEAM Solutions sets up for your event, what you do yourself, and how to add your staff to your organization.

For event organizersUpdated

Step by step

  1. Step 1: Sign in and open your organization

Sign in to TEAM Solutions. If you belong to more than one organization, pick your event organization in the switcher at the top of the sidebar.

  2. Step 2: Set up payouts early

    SettingsPayment Settings

Connect your organization to Stripe under Payment Settings, well before your event, so your rebate can be paid after it.

  3. Step 3: Open your event

    Events

Go to Events and open your event. While hotels are being sourced, its Overview shows how many have responded and how many are under contract.

  4. Step 4: Share the booking link once it is live

When TEAM Solutions takes your event live, your organization's admins and primary contact get an email, and the event page shows the booking link to send to teams and families.

What TEAM Solutions does for you

Our team runs hotel sourcing and contracting for your event. TEAM Solutions:

  • Creates your event in the platform, with its dates, venues and divisions.
  • Sends RFPs to hotels, negotiates their offers and handles every hotel contract.
  • Takes your event live, which opens booking and creates your booking link.
  • Changes event details and extends booking cutoffs when you ask.
  • Turns on a notice families must accept before booking, and switches team room holds on or off.
  • Calculates your rebate after the event and sends it to your Stripe account.

What you do

You handle getting paid, getting the booking link to your teams and keeping an eye on pickup.

Your menu

  • Dashboard shows your events at a glance and your payout setup status.
  • Events opens each event's page, with its hotels, room blocks, staff rooms and pickup report.
  • Users lists the people in your organization. Admins and Managers can add people from here.
  • Earnings shows your payouts and their status.
  • Settings has three pages:
    • Organization: your organization's details and contacts.
    • Payment Settings: where you connect Stripe for payouts.
    • Planner Reward Accounts: your hotel loyalty planner accounts.

New to TEAM Solutions?

If our team set up your organization for you, accept the email invitation to join it. If you registered yourself as a Tournament Organizer, TEAM Solutions reviews your registration first. You see a review page until it is approved, which typically takes 1 to 2 business days.

Common questions

I signed up. When can I start?

Once TEAM Solutions approves your organization. Review typically takes 1 to 2 business days, and your organization's primary contact gets an email when it is approved. Until then, Payment Settings and Earnings stay locked.

My registration was not approved. What now?

Your organization's primary contact gets an email, and your dashboard says the application was not approved, with the reason when one was given. If you think it was a mistake, call or email TEAM Solutions support using the details at the bottom of this page.

How do I add people from my organization?

Open Users, click Add User (a person icon with a plus on a phone), enter their email, pick a role (Admin, Manager or User) and click Send Invitation. Someone who already has a TEAM Solutions sign-in is added right away; anyone else gets an email invitation. Admins and Managers can add people; only Admins can remove them.

Why are RFPs and contracts not in my menu?

TEAM Solutions sources, negotiates and contracts your hotels for you, so RFPs, offers and contract terms are handled by our team. Your event page shows the results: hotel sourcing progress, the hotels under contract, rooms picked up and your projected rebate.

How do I change my event's details or booking cutoff?

Contact TEAM Solutions support. Event details, venues and booking cutoffs are changed by our team, not from your account, so tell us what should change and we update the event.
